Deposit & booking confirmation
As soon as we have received the payment of your deposit of £200 per person, and your holiday
insurance premium, if applicable, we will send you your holiday invoice. This will act as confirmation of
your booking.
Paying the final balance
The balance of your invoice is due to be paid 8 weeks prior to the start of your holiday. Where a booking is made within 8 weeks of departure, the total holiday cost becomes due immediately.
If you alter your booking
After paying your deposit you may alter your holiday arrangements for a fee of £50 per booking, provided that space is available. If you wish to alter your holiday within 8 weeks of your departure, it will be treated as a cancellation and cancellation charges, as set out below, will apply. If you wish to change the date of your holiday, the holiday must be rebooked within the same season.
If you wish to cancel your holiday we require written notification.
Our cancellation charges are as follows:
More than 49 days before departure: deposit only. 49-29 days before departure: 33% or deposit if greater. 28-7 days before departure: 75%. Less than 7 days before departure: 90%.
On or after departure date: 100%.

Very occasionally it may be necessary to cancel a particular departure. We reserve the right to do this for any reason, up to 8 weeks before the departure date. In these circumstances we will offer you an alternative holiday, if available, or a full refund on all monies paid.
Alterations to itinerary
Occasions arise when we cannot follow our advertised itineraries and/or cannot maintain our advertised schedules. Our itineraries and schedules are put forward as a statement of intention only, not as representatives or undertakings that they will be carried out. If any additional expenses are incurred through delay, accident or disruption of planned itineraries beyond our control, e.g. war, riots, strikes, Acts of God, etc, such expenses will be borne by the holidaymakers.
Holiday price and surcharges
We guarantee that the price of your holiday will not be subject to alteration or surcharges once a booking has been confirmed, except due to a drop in the Sterling exchange rate, the result of government action, or an increase in air fares. In this case we will absorb the first 2% of any increase in the holiday price, excluding the insurance premium. Should the increase be in excess of 10% you will be entitled to cancel your holiday and receive a full refund of all monies paid, with the exception of any payment made to us for holiday insurance or amendment fees. Passports and Visas
As a visitor to France you are required to hold a current passport. Should you be travelling from outside the EU countries, you should check whether you may also require a visa.
Complaints
Should you have a complaint while on holiday, you should notify your hotel owner, and/or our assistant, at the time, to enable it to be put right immediately. If the matter is not resolved, the complaint should be made in writing within 28 days and addressed to our office. This contract is governed by English law and is subject to the exclusive jurisdiction of the courts of England and Wales.
Flight bookings
We book scheduled flights with British Airways, Air France and British Midland. The types of aircraft in use are not known at the time of going to print. A £5 security tax is included in the cost of each ticket.
Train bookings
We are retail agents for RailEurope.
Ferry bookings
We are retail agents for Brittany Ferries, SeaFrance.
Hotel bookings
We are retail agents for hotels throughout France.
Consumer protection
The air holidays in this brochure are ATOL Protected by the Civil Aviation Authority. ATOL number 5768. All other monies received from our holidaymakers are secured in Susi Madron's Cycling Holidays Ltd Customer Trust Account. Your money will be refunded or your repatriation assured, if already abroad, if we are unable to provide your contracted holiday arrangements due to our insolvency.
Our brochure's accuracy Our brochure goes to press in November 2007. All the information in it has been compiled with great care and is as accurate as we can make it on the date of publication.
Holiday Insurance
Under the terms of this contract you are required to have suitable travel insurance giving comparable or greater cover than that given by the policy offered by Susi Madron's Cycling Holidays Ltd. This must include the costs of medical treatment and repatriation in the event of a serious accident or illness, and replacement value of our bicycle in the event of it being stolen.
Holiday Insurance is a condition of booking. We arrange a Personal Comprehensive Holiday Insurance with NJ Heritage Partnership Ltd for our holidaymakers. This is not included in the price of the tours as many people now have annual travel insurance cover.
The full terms and conditions including exclusions are incorporated in the Master Policy. In the event of any dispute as to the terms and conditions, the Master Policy alone shall prevail. A synopsis of this insurance will be sent to you with your Confirmation of Booking, and of course, you may inspect the Master Policy at our offices. The insurance is effected on acceptance of your holiday booking. Our insurance applies to UK residents only.
Important
This insurance is subject to the express warranty that no holiday or travel arrangements are made or undertaken:1) against medical advice 2) with the intention of receiving medical treatment. 3) whilst the insured or any person named in Section 1 is on a hospital waiting list awaiting treatment. 4) all material facts relating to the purchase of this insurance have been disclosed to the underwriters. (These include chronic pre-existing & on-going medical conditions)

All reimbursements under Item 14 above will be in respect of expenses or loss incurred by Susi Madron's Cycling Holidays Ltd. Personal liability and legal expenses section of cover are subject to £100 Excess each claim per person.
Policy Excess Cancellation, Medical Expenses, Personal Baggage and Personal Money Sections of Cover are subject to £35 Excess each and every claim, loss of Deposit £15 each and every claim.

EHIC European Health Insurance Card (this replaces the old E111 certificate). To acquire an EHIC, the quickest and easiest way is to apply online at: www.dh.gov.uk/travellers or you can obtain a form from any Post Office which you then complete and send off, or you can telephone: 0845 606 2030 Take the EHIC with you to France, and please carry it together with your insurance certificate, at all times.
